Import spreadsheet lines into an export document
If the goods already exist in Excel, an ERP export or a supplier file, you do not need to type them again. FreightStow reads CSV and XLSX files in your browser and turns each data row into one goods line in the current trade.
Use one row per goods line and put column names in a single header row. Open a generator, choose Import spreadsheet, select the header row, match each source column to a document field, review the preview, then append the rows or replace the existing ones.
| Spreadsheet heading | Match to | Example |
|---|---|---|
| Description | Description of goods | Glazed ceramic floor tiles, 600 x 600 mm |
| HS Code | HS Code | 6907.21 |
| Qty | Quantity | 240 |
| Unit | Unit | cartons |
| Unit price | Unit price | 18.50 |
| Net kg | Net weight | 4320 |
| Gross kg | Gross weight | 4510 |
| Origin | Country of origin | Vietnam |
What the header row does
The header row names the columns. It is usually row 1, but a title or supplier note may appear above it. Select the row containing labels such as Description, Quantity and Unit Price. FreightStow suggests matches from those labels, and you can correct every match before importing.
A heading does not have to use FreightStow's wording. A column called SKU can become a custom column, while columns such as internal notes can be ignored.
Check numbers before applying
Choose the number style used in the file. In US style, 1,234.56 means one thousand two hundred thirty-four and 56 cents. In European style, the same value is written 1.234,56. The preview shows how the values will land before the document changes.
Use Replace existing lines when the spreadsheet is the complete goods list. Use Append when the document already contains lines that should stay.
Files and limits
The importer accepts CSV and XLSX. Old XLS files must first be saved as XLSX or CSV. A signed-in account is required because import usage is limited by account. The file itself is parsed in the browser; only the use of an import is recorded when you apply it.
Remove merged cells, subtotal rows and repeated header rows when they are mistaken for goods. Each finished data row should represent one line on the document.
+Does one row create one document?
No. One row creates one goods line inside the current document. The importer does not create a separate invoice or packing list for every spreadsheet row.
+Can I keep columns FreightStow does not recognize?
Yes. Map the heading to New custom column. Ignore it if it should not appear on the document.
+Does the spreadsheet leave my browser?
The file is read and mapped in the browser. Applying the import records one use against the signed-in account, without sending the file or its rows.
